We understand that plans change. Because this expedition involves small group sizes and non-refundable pre-arranged permits, including Machu Picchu entry, our cancellation terms are as follows:

No Refunds After Booking

Due to non-refundable costs, including entry tickets, permits, logistics, and reserved expedition services, we are unable to issue refunds at any point after booking.

Exception: You Find a Replacement

Deadline: September 11, 2026

You may receive a partial refund if you personally find a qualified replacement participant before this date.

• You are responsible for identifying your own replacement participant.
• The replacement must meet Evolution One’s minimum requirements and be approved by our team.
• A Machu Picchu ticket must be available for the replacement.
• Once approved and confirmed, you will be refunded your payment minus a $560 cancellation/transfer fee.

Cancellation requests received after September 11, 2026 are not eligible for a refund under any circumstances.

Accommodation, Flights & Transportation

Participants are fully responsible for managing their own flights, airport shuttles, accommodations, and related travel arrangements, including any cancellations, changes, or fees.

Evolution One is not responsible for coordination or reimbursement of individual travel logistics.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to protect your investment in case of unexpected changes, cancellations, or travel disruptions.

As a nonprofit, Evolution One commits to making these experiences possible while ensuring fair and ethical policies for all participants.

1) I, the undersigned, hereby authorize Ascension One Collective Inc. to photograph me, take motion pictures of me, take video footage of me, and/or make electronic sound recordings of me (herein referred to as photographic or electronic reproductions). 

2) I authorize the use of any such photographic or electronic reproductions of me for any purpose, including, but not limited to educational and other public media as may be deemed appropriate by Ascension One Collective, Inc. (I understand that I may be identifiable from such photographic or electronic reproduction)

In exchange for the services provided to me by Ascension One Collective, Inc. (collectively “the ORGANIZERS”), I, for myself and anyone who may act on my behalf, (hereinafter referred to collectively as “I and my Heirs” or “my Heirs”) agree to and acknowledge the following:
1. Risks. I am voluntarily participating in a program of personal growth (hereafter the “Experience”) sponsored and operated by the ORGANIZERS, the name, date, and location of which are given above. The Experience will involve a variety of activities, including, but not limited to, meditation, strenuous, vigorous and challenging physical, mental, emotional and intellectual activities conducted indoors and outdoors during day and night (the “Activities”). The same elements which contribute to the unique character of the Experience and the associated Activities can cause loss or damage to personal property, accidental injury, illness, or, in extreme cases, permanent trauma, disability, or death.
The ORGANIZERS as a matter of integrity and accountability want me to know in advance of the inherent or potential risks of the Experience and the associated Activities. I understand that the ORGANIZERS will take reasonable steps to seek to provide a safe environment. However, I also understand that certain risks are inherent in the Experience and cannot be eliminated without destroying the unique character of the Experience and the Activities.
The risks discussed above include, but are not limited to: 
risks associated with outdoor physical activities (such as walking or running on uneven ground) including slips and falls, bruises, sprains, lacerations, fractures, and concussions;
contact with plants, animals, snakes or insects that could cause stings, bites, allergies, or disease;
exposure to fire or heat from natural or manmade causes that could cause burns, dehydration, and fainting;
exposure to cold, wet weather, and to other unpredictable forces of nature;
damage to property owned by me or by others;
the failure or malfunction of equipment;
inherent risks associated with being in a remote location, distant from medical facilities, where evacuation, transport and medical care could be delayed;
risks associated with traveling by land or air to and from the Experience site or to and from a site of emergency medical care.
risks associated with combining the experience with medication, recreational drugs, alcohol and cigarette use.
risks associated with the contraction COVID-19 or other communicable diseases
I understand that this list is not complete and that other unknown or unanticipated risks may result in property loss, serious injury, illness, or death.

2. Medical Information. I attest that (1) I have no medical, physical, mental, or emotional conditions which could interfere with or affect my safety while participating in the Experience and the Activities, and I am fully capable both physically and mentally of participating in the Experience and associated Activities without causing harm to myself or others; or (2) if I have, or suspect I may have, any such condition I have disclosed it fully to the ORGANIZERS in Paragraph 12 under Medical History. I further certify that I have no past or present physical or psychological condition that might affect my participation in the Experience or the Activities, other than those, which I have disclosed on my medical interview.
I understand that certain medical and psychological conditions may increase the risk of my participation in the Experience. I release and forever discharge the ORGANIZERS from any liability or claims for any injuries to me which are a direct or indirect result of my medical or psychological condition.
The medical information which I have given to the ORGANIZERS is true, to the best of my knowledge, information, and belief and I have disclosed all known or suspected medical conditions. I agree that I will inform ORGANIZERS of additional medical conditions that may arise between the day I execute this Agreement and the date of the Experience and Activities as well as conditions that arise during the course of the Experience and Activities.

3. Special Risks Associated with COVID-19. The novel coronavirus, “COVID-19,” has been declared a worldwide pandemic by the World Health Organization. COVID-19 is reported to be extremely contagious.
The state of medical knowledge is evolving, but the virus is believed to spread from person-to-person contact, airborne particles, or possibly even by contact with contaminated surfaces and objects. It is believed that some people can be infected and infectious while showing none of the symptoms of the virus.

Evidence has shown that COVID-19 can cause serious and potentially life threatening illness, and even death. The ORGANIZERS cannot prevent you from becoming exposed to, contracting, or spreading COVID-19 while utilizing the ORGANIZERS’ services or premises.

While we have elected to request proof of a negative COVID-19 test result to come to the retreat as a way to reduce risk, it is unfortunately not possible to prevent the presence of the disease. Therefore, if you choose to utilize the ORGANIZERS’ services and/or enter onto ORGANIZERS’ premises you may be exposing yourself to and/or increasing your risk of contracting or spreading COVID-19.

4. Assumption of risk. I understand and agree that the ORGANIZERS are not and cannot be a guarantor or insurer of my safety or well-being. I agree to act with reasonable care for my well-being and the well-being of all other people and property around me during the Experience and the Activities. 
I also understand that swimming pools or other bodies of water that could be used for swimming may be present at the locations where the Experience is held and that swimming is not overseen by the ORGANIZERS as a formal part of the Experience. I understand that the ORGANIZERS have not inspected and makes no warranty regarding the condition of those pools or other bodies of water and provides no lifeguards. I agree that if I swim or otherwise enter those bodies of water, I do so at my own risk.
I accept and assume full responsibility for all of the risks and hazards associated with participation on the Experience, whether known or unknown, including, but not limited to, 1) injury, death, or loss of personal property and related expenses which I may suffer as a direct or indirect result of those inherent risks and dangers described in this Agreement as well as those not specifically described; 2) any injury that I may cause to any other person or any damage that I may cause to the property of others, as a result of my negligence or wrongful conduct; 3) Contracting, and potentially transmitting to others, COVID-19. 
The Experience is of such value to me that I elect to participate in the Experience with full knowledge of all known or potential risks, including being exposed to, contracting, and/or spreading COVID-19, rather than arranging for an alternative method of enjoying the same services virtually (e.g. videoconference).

5. Voluntary Participation. I confirm that my participation in any and all Activities is purely voluntary, and that I may decline to participate in any of the Activities at any time. 

6. Cancellation Policy. In case of cancellation, you may transfer your reservation to another person as long as you notify the ORGANIZERS. In the event that the ORGANIZERS can find a participant to take your place, you will receive a refund. If the venue cannot accept visitors due to COVID-19, participants will be offered an alternative set of dates and the ORGANIZERS team will work with the highest integrity to transfer or return your investment depending on the options available. Due to contractual obligations to our venue there can be no exceptions to this policy.
 
7. Release. In consideration of being able to participate on the Experience, I, for myself and my Heirs, release and discharge the ORGANIZERS from all claims or causes of action, present or future, arising from physical, emotional, or psychological injury, death and/or property damage suffered by me or any other person, resulting directly or indirectly from my participation on the Experience and the associated Activities, including, without limitation, injury or damage caused in whole or in part by errors in judgment and/or any other negligence of the ORGANIZERS. I understand and accept that by signing this Agreement, I surrender all rights to make a claim or file a lawsuit against the ORGANIZERS for personal injury, property damage, wrongful death, products liability (including strict liability), breach of warranty or contract, or under any other legal theory.
8. Nature of Release. This release, waiver, and indemnity Agreement is intended to be as broad and inclusive. If any portion of the Agreement is held invalid, the remainder of the Agreement will still continue in full legal force and effect.

9. Indemnification. In the event a claim is made against the ORGANIZERS for my acts, I will indemnify the ORGANIZERS absolutely for all costs, and expenses that result.  

10. Promise of Confidentiality. While participating in the Experience and the Activities, I will learn details of and experience how the Experience and the Activities are conducted, in both oral and written form, which are proprietary and owned by the ORGANIZERS (the “Proprietary Information”). In addition, I may learn during the course of the Experience information about other participants, which is confidential (the “Confidential Information”). As an express condition of my participation in the Experience, I agree that I will not reproduce, duplicate, or copy, in any form or manner, any Proprietary Information without the express written permission of the ORGANIZERS. I further agree that I will not disclose in any form or manner, written or oral, any Confidential Information which I learn as a result of my participation in the Experience and Activities. I may, however, share my personal experience of the Experience as long as I do not disclose any Confidential Information.

11. ORGANIZERS Promise of Confidentiality. The ORGANIZERS agree to maintain the confidentiality of Confidential Information as stated above. 
I agree to keep the Experience and activities confidential, as well as the identities and experiences of all participants. I understand I can speak about my experience without including the nature of the sacred ceremony. I will refer to experience as meditation retreat to anyone outside of the participants’ circle.

12. Post Experience Follow Up. I understand that the ORGANIZERS will include me on one email list to provide community information and follow-up connection with other participants. I may unsubscribe from these lists at any time.

13. Agreement Controlling. This release contains the entire agreement between the ORGANIZERS and me, and supersedes any and all other agreements or representations, written or oral.
